Old Business
Jessica wasn’t at tonight’s meeting, so we were unable to find out if anyone had gone to her personally to sign up to man the beer tent or not. Looking at the sign-up sheet Jaclyn put together we are still in need of volunteers for all stations.
Amy received the security price/quote from the Cass County Sheriff’s office. The township has already issued us a check to cover this cost based on last year’s amount and Amy is cutting a check to them, so we have them paid and locked in for security during the BGF.
We checked the bank account to see what checks have cleared the bank and the check we cut for the rides shows it was cashed.
Both the blow-up jungle gyn and the blow-up costume races we will need volunteers to run. We will add it to the online sign-up sheet and post it online but more than likely people will wait until a few weeks before the event before signing up. We also discussed paying the volunteers with Frolic Bucks that are to be used after they are done with their shift as a means to get people to sign up.
For the dunk tank we discussed seeing if Gavin and Justin would be in the tank and maybe Sheriff Jarrard would again. Some other ideas were some of the different sports coaches like Bub McNeal. Another idea was having a challenge again like we did last year between Kay and Mrs. B.
New Business:
Huge kudos to Jaclyn and all the work she did in putting together the video. So far, we have gotten over 5K views!!
Raffle tickets have been a hard sale. No one seems to have money to donate or buy raffle tickets. There were a few sales here and there and some items like the gift cards to Willow Lake Sportsman’s Club we were getting no hits on, so we are making that a silent auction with a $100 minimum bid. We have one bid on it so far. Discussed getting together one night and going door to door in town asking for donations and trying to sell more raffle tickets.
Amberly did a great job on the new BGF Bucks’ They look amazing!!! Amy got a bunch printed off and laminated but ran out of laminate. Amy got ahold of Brian via text to see if he could laminate the rest for us which he said he could.
We determine that the blowup costume race will be at the far end of the field.
When Amy spoke with Brian, he stated that so far we have 15 rocks painted and that we were a little light on the Kid’s Fish coloring project.
Amberly & Amy discussed the selfie station and the various props they currently have that can be utilized. We have tiki bar stuff, does anyone have anything else? If anyone else has any props that they would like to donate, please let us know.
Amy has the light bar and generator reserved from Paw Paw rental, so we are all set on that. We talked about sitting behind the blowup jungle gym so the light shines through from the back. This will help us to see when it gets darker so parents can keep an eye on their kids. Amy is going to get with Matt to see if he could pick that up for us the week of the Frolic.
Amy is going to work with Brian on the Beer tent map- dance space Layout out that the village is asking for.
We received sponsorship from Fab Masters & McKenzie Farms. We still need 4k for the second half of rides.
Amy is going to work on a detailed spreadsheet of what everything costs so we be fully transparent to everyone and will submit it with this month’s minutes. We feel a lot of people don’t know or understand what all goes into putting this event on and how much money it costs.
