Bluegill Frolic Committee Meeting Minutes – December 11, 2025

Present: Jaclyn Lyles, Todd Snider, Diane Mierzejewski

Absent: Chelsea Proffitt, Cindy Wilson, Billiejo Snider, Tommy Puleo

Call to Order
The meeting was called to order at 7:12 PM.

Old Business
The committee reviewed ongoing items and planning needs.

Storage
• Members discussed the need for storage space so the committee can begin purchasing and storing items like tents, chairs, and other supplies.
• Members will start asking around about possible storage options.

Event Date
• Members present agreed to keep the Bluegill Frolic in August 2026, as bands and vendors are planning to return.
• The date can be reconsidered for 2027

Sponsorship Letter
• The sponsorship letter planned for the end of the year is not urgent.
• Since the committee does not currently have 501(c)(3) status, donations are not tax deductible.
• The committee agreed to pursue 501(c)(3) status again, and Jaclyn and Todd will begin looking into the requirements.

Banking, Payments, and Tools|
• Chelsea, Todd, and Jaclyn will meet to make sure banking access, Venmo, and email accounts are set up and working smoothly.
• Todd shared that he downloaded an app to help track donations.

Fundraising
• Members discussed general fundraising ideas and agreed that fundraising efforts should happen once a month. Todd will make a post asking for fundraising ideas. The committee can vote on the top 5. 
• Planning for monthly fundraising events will begin in January.

Parade
• Jaclyn will be in charge of organizing the Bluegill Frolic Parade.

Engagement & Visibility
• The group discussed ways to build momentum starting in January, including a website with a donate option and donation boxes at local businesses.
