Bluegill Frolic Committee Meeting Minutes

Call to Order
The meeting was called to order at 6:40 P.M.
Banking & Financial Actions (Action Required for Bank
New savings account opened. Debit card is attached to the checking account. Jaclyn removed from account. Billiejo Snider added to the account.
Motions & Decisions (Unanimously Approved):
Payment to be made to Patch and Remmington to secure our meeting location in the amount of $150.00.
Juggling Act, Clark Lewis. Fee of one show for $500.00 or two shows for $550.00. Each show is 30 minutes long. Decision was made to discuss this further at next meeting.
Vertical Edge Ride Approval for $18,280.00. Downpayment of $9,140.00 due at the signing of the contract. All in agreement to remove the Mind Winder from the quote and list of rides.
Banners and Signs: 4-1’x2’ (40.00), 4-2’x5’ ($168.00), 1-4’x8’ ($136.00), 50 Yard Signs with stakes ($303.00).
Signs and Banners will be printed using the services of Superior Receipt Book Co. & Printing Services located in Centerville, Ml.
3 Thermometor Signs (2 back to back downtown and 1 at the corner of M-40 South)
3 Signs-Amazon: $100.00, (16 sets) 4 inch Red Vinyl Number Stickers: $6, Posts-Tractor Supply: (4-6’ and 6-4’) $40.00. Total estimated cost of $150.00.
Purchase 3 more cases of hot sauce at the cost of $123.76. Art Supplies for Barrels estimated cost of $200.00.
Tents,Chairs and Tables Canopeum-Waiting on reply
AV Rentals-$2,080.00. With an additional cost of $460.00 for supplying a bounce house for 2 days. Total cost: $2,540.00.
Budget & Financial Goals
Target overall budget: $32,000.
Donation boxes have been purchased and placed at participating businesses. Bingo Cards have been placed at all participating businesses.

M-40 Speedway, Leonard Enterprises, GW Jones Bank.
Website
Met with Carter Surach on the 12th of March and as of the 18th of March our website has went live at www.bluegillfrolic.com. Everyone has been asked to look at the website and to share any further suggestions or ideas to be added to the website.
Event Planning & Vendors
Planned Fundraising Events:
March- Bingo Boards
April- Bingo
May- Adult Prom/Silent Auction at Regina’s.
June: Car Show, Daddy Daughter Dance
July: Cornhole Tournament
August: Bluegill Frolic
September: Golf Outing?
Ocotober: Euchre Tournament?
November: Teen Dance?
Additional Fundraising ideas are still needed for the month of December and further planning is required for fundraising activities as well.
Ongoing Pop Can Drive. Barrels have been placed at approved locations.
Spring Flower Sale: Flower Power Fundraising. All documents have been completed, signed and submitted. We will soon receive ourfundraising link that is to be added to our website and made available to all members and guests.
Volunteers may still be needed for event support.
New Business:
Gavin Trewhitt has become a new Committee Member.
MVP:
A suggestion has been made to have representatives from the Potawatomi Tribe to come and do some educational information about the Tribe and their ties to the Cass County Area.
DDA and Village Update:
We have the approval of the Village to purchase and place the banners entering town on 216 from the East and M-40 from the South as well as a thermometer banner.
New Meetings:
Village Council: March 24th at 7 p.m.
DDA: April 9th at 6p.m.
Further Discussions:
-More educational things for people
-DNR Sports, Traveling Tank
-Animal Education (Zoos, Local Farms)
-Mom to Mom Sale
-Face in the Hole for Downtown Businessess. Placement to promote area events
-Coffee refill at Regina’s will be a donation made to The Bluegill Frolic.
-Pay to Paint Train Cars
-Potowatomi Zoo & Free Exhibit
