Bluegill Frolic Agenda – June 24, 2025
Call to order: 6:10pm
Attendance: Amy Segerdahl, Todd Snyder, Amberly Ware, Chelsea Proffit, Brian New, Jaclyn Lyles, and Michelle Drake. Absent: Jessica and Cary
Treasury report: as of 6/24/25 $6,011.90
Old Business:
Jessica has Cindy Wilson, & Goff Lake Campground all lined up to volunteer for the beer tent along with Billie Jo. It was mentioned that we thought we had enough volunteers to check ID’s and sell tickets, but we thought we still needed bartenders. Jessica should be putting together the sign-up list and we will know then what other spots are still available and need to be filled for Friday and Saturday.
Last we heard, the Cass County Sheriff’s department was still working on getting us a quote on what it will cost for Security over Friday night. Amy plans to reach back out to them to see if they have the quote available for us yet or not.
Rides is the Barrel Train that we purchased & then the Bull riding ride. Chelsea is going to reach back out to lock down the Rock Wall as well and see if we get blow-up bounce house.
We did discuss possibly having other blow-ups rides at the event but then we ran into the issue of who is going to man the rides.
Amy plans to mail out checks for dunk tank and the Wild Bull this week and Chelsea is signing the checks, so they have the required second signature.
New Business:
Amy talked it over with Tom to get his feedback on our idea to have a new Kayak as the main prize for the fishing contest this year. Tom did not think that it would be a selling factor to get more people to join the fishing contest and that we’d lose money on it. Tom also stated that this year he will be set up at the field for the fishing contest. The plan is to start registrations at 7am on Saturday morning. It will be $15 for adults and kids 16 and under are free. Weigh-in will be between 4pm and 6pm and he will be announcing the winner on the main stage at 7pm.
Todd has been busy working on gathering items for the Raffle and working with Jaclyn to help promote it. To try and help to sell more raffle tickets, Todd is giving everyone an envelope with the three different raffle tickets and the list so each member can try to sell tickets. In addition, Todd and Jaclyn are putting together something to advertise online to try and sell tickets that way too. Amy also handed out sponsorship letters and donation forms for specific businesses to everyone so each member knows which business they need to approach for donations.
Amy is going to get with Cary to see if she can talk to the vendors about our idea of having BGF Bucks for some of the prizes. The plan is to create BGF Bucks in $10 increments that would be used as some of the prizes and then at the end of the night the vendors would turn them into Amy for cash. Chelsea also recommended seeing if the food trucks would agree to a discounted meal package for the BGF Bucks only. It was mentioned that we could use the bluegill design that Amberly made and have that be the BGF Bucks. Amy mentioned also laminating them so we can use them again next year.
Since we are going to be short on funds and what we can afford as far as rides go, the committee decided instead of selling wristbands for the rides, to have an entry fee into the event. This way everyone that enters the event is charged and then all rides are free. We decided to go with $5 for adults, $3 for kids (under 18), and kids 5 years old and under are free. We will purchase BGF stamps that we can use to mark everyone’s hands when entering the event. Two different stamps or colors for the two different days. We will also be selling T-shirts and Sweatshirts at the main gate tent.
Marty has two trailers that we can borrow but there is no canopy for it. Based on pictures of the trailers, both Todd and Brian were talking and thought that they could come up with a solution to make one that we can use for the event.
Amberly also mentioned that she wanted to do a Selfie station that everyone can use at the event for a donation. She has several backdrops she plans to have available to make it fun and then they can use their own cell phones to take pictures.
Brian let us know that Lyra has several fund-raising events planned at the Library in July. She is planning to put on painting fish and rocks for a fee and then they will be displayed at the BGF Hospitality tent for everyone to see. The rocks we plan to use as a scavenger hunt that Saturday and have asked Lyra to make one rock that says “Winner” on the bottom of it.
Michelle will be putting together a sign-up list for the Dunk tank and will post it online as soon as she has it done. The plan is to have the Dunk Tank booth open for the same hours as last year.
